VIAS RD / VIAS BASEBALL PARTICIPATION AGREEMENT
This Player Participation Agreement (“Agreement”) is entered into between Vias RD / Vias Baseball (collectively referred to as “Event Organizers”), and the undersigned player and/or parent/guardian (“Participant”) for participation in the Dominican Republic Baseball Experience, taking place March 12 – March 21, 2027 in the Dominican Republic.
By signing this Agreement, the Participant acknowledges and agrees to the following terms and conditions:
1. Commitment to Participate
Submission of the registration form and execution of this Agreement constitutes a formal commitment to participate in the Dominican Republic Baseball Experience. This event is roster-based and requires advance planning for travel, accommodations, uniforms, and scheduling.
2. Team Roster Structure
Each team roster will be strictly managed to ensure adequate playing time and a high-quality baseball experience for all participants. Roster spots are limited and are reserved based on completed registration and signed agreement.
3. Payment Terms
Upon submission of registration, participants agree to comply with all payment schedules established by the Event Organizers. Failure to make payments according to the agreed schedule may result in removal from the roster and forfeiture of participation rights.
4. Non-Cancellation Policy
Due to the international nature of this event and the significant logistical commitments involved (including accommodations, field reservations, transportation, and uniforms), participation is considered a binding commitment once registration is submitted. Participants acknowledge that this is not a “reserve now and decide later” event. By signing this Agreement, the Participant accepts responsibility for fulfilling the financial obligations associated with participation once roster confirmation and payment schedules are issued. Initial resort deposits are strictly non-refundable upon payment.
5. Travel and Additional Guests
Players may travel with family members or additional guests. The number of additional travelers may be adjusted up until the final team travel roster is submitted. All travel arrangements must comply with the event’s official travel schedule and guidelines provided by the Event Organizers.
6. Player Conduct
All players and accompanying family members are expected to represent their team and the event with professionalism and respect. The Event Organizers reserve the right to remove any participant from the event without refund in the event of misconduct, violation of local laws, or behavior deemed detrimental to the event or other participants.
7. Assumption of Risk
Participation in athletic activities carries inherent risks. By signing this Agreement, the Participant acknowledges and accepts these risks and agrees that the Event Organizers, affiliates, partners, and staff shall not be held liable for injuries, accidents, or unforeseen incidents occurring during the event, except where prohibited by law.
8. Media and Promotional Use
Participants grant permission to Vias RD and Vias Baseball to use photographs, video, audio recordings, and other media captured during the event for promotional, marketing, educational, and public media purposes without compensation or royalty.
9. Event Modifications
Event Organizers reserve the right to modify schedules, activities, locations, transportation, or logistics if necessary due to weather, facility issues, travel changes, or other circumstances beyond their control.
10. Agreement Acknowledgment
By signing below, the Participant confirms that they have read, understood, and agree to all terms and conditions outlined in this Agreement and commit to participating in the Dominican Republic Baseball Experience scheduled for March 12–21, 2027.
