VIAS BASEBALL REFUND & CANCELLATION POLICY
Effective Date: September 21, 2026
This Refund & Cancellation Policy applies to baseball camps, team trips, individual-player trips, and related travel services offered through Vias Baseball.
Vias Baseball is operated by The Straley Project, a United States 501(c)(3) nonprofit organization.
Payments for Vias Baseball camps, trips, accommodations, transportation, registration, and related services are payments for services and are not charitable contributions.
STANDARD CAMP PRICING
Unless different terms are included in a written proposal or registration agreement, the standard Vias Baseball camp includes:
- Seven days and six nights
- Double-occupancy lodging
- Baseball games and scheduled baseball activities
- Meals provided through the applicable trip package
- In-country group transportation
- Scheduled cultural, service, and group activities
The standard published price is:
- Player: $2,495 per person
- Parent or additional family member: $800 per person, when applicable
- Player deposit: $500
- Airfare is not included
Private rooms, upgrades, optional activities, additional nights, individual transportation, insurance, and other services not specifically listed as included may require additional payment.
RESERVATIONS AND DEPOSITS
A registration is not confirmed until:
- Required registration information has been submitted
- The required deposit has been received
- Vias Baseball has accepted and confirmed the registration
The standard player deposit is $500 per player.
Deposits are nonrefundable because they are used to reserve lodging, transportation, facilities, baseball activities, and other trip services.
A deposit may be transferred to another eligible participant when permitted under the participant-substitution section below.
FINAL PAYMENT
Unless different written terms apply, the remaining balance is due 60 days before departure.
Failure to pay the balance by the deadline may result in cancellation of the registration and loss of the participant’s reserved place.
If registration occurs within 60 days of departure, full payment may be required at registration.
Vias Baseball may establish different payment dates for custom team trips, group contracts, or experiences requiring earlier commitments to hotels or other providers. Any different terms will be disclosed in writing.
PARTICIPANT CANCELLATIONS
Cancellation requests must be submitted in writing to:
The cancellation date is the date on which Vias Baseball receives the written request.
Unless different written terms apply, participant cancellations are handled as follows:
120 Days or More Before Departure
- The $500 player deposit is nonrefundable
- Other payments received are refundable
90–119 Days Before Departure
- The $500 player deposit is nonrefundable
- Seventy-five percent of additional payments received is refundable
61–89 Days Before Departure
- The $500 player deposit is nonrefundable
- Fifty percent of additional payments received is refundable
60 Days or Fewer Before Departure
- All payments are nonrefundable
- A participant substitution may be considered when practical
Refunds apply only to amounts paid directly to Vias Baseball.
Airfare, travel insurance, passport expenses, medical expenses, and amounts paid directly to airlines or other outside providers are not refundable by Vias Baseball.
PARENT AND FAMILY-MEMBER CANCELLATIONS
Unless different written terms apply, payments for parents and additional family members follow the same cancellation periods described above.
If a parent or guardian is required to accompany a minor and cancels, the minor may no longer be eligible to participate unless another approved parent or legal guardian is substituted.
Additional charges resulting from a change in occupancy may be deducted from an otherwise available refund or charged separately.
For example, if one traveler withdraws from a double-occupancy room, the remaining traveler may be responsible for a private-room supplement or may be reassigned to another room when appropriate.
PARTICIPANT SUBSTITUTIONS
Vias Baseball may allow a registered participant to transfer their place to another eligible participant.
Substitutions:
- Require prior written approval from Vias Baseball
- Must be requested as early as possible
- Are subject to age, team, roster, rooming, travel, and eligibility requirements
- May require new registration forms, releases, and travel documents
- May be subject to supplier charges or administrative costs
- May not be possible after rosters, rooms, transportation, or activities have been finalized
A substitution is not effective until confirmed in writing by Vias Baseball.
Airline tickets generally cannot be transferred through Vias Baseball because airfare is purchased separately.
NO-SHOWS, LATE ARRIVALS, AND EARLY DEPARTURES
No refund or credit will be provided when a participant:
- Fails to arrive
- Misses a flight
- Arrives after the trip begins
- Leaves before the trip ends
- Chooses not to participate in an included activity
- Is denied boarding or entry
- Lacks required travel documents
- Is removed because of misconduct or a serious safety violation
Participants are responsible for expenses resulting from late arrival, early departure, removal, or alternate travel arrangements.
PASSPORT AND ENTRY REQUIREMENTS
Participants are responsible for obtaining and maintaining valid passports, parental travel authorizations, visas, and any other required documents.
Vias Baseball is not responsible for cancellation, denial of boarding, or denial of entry caused by:
- An expired or insufficiently valid passport
- Missing or inaccurate documents
- Visa or immigration issues
- Government restrictions
- Failure to comply with airline requirements
- Failure to obtain required parental authorization
These circumstances are treated as participant cancellations and follow the cancellation schedule above.
ILLNESS, INJURY, AND PERSONAL EMERGENCIES
Participant illness, injury, family emergencies, changes in employment, school conflicts, schedule changes, and similar personal circumstances do not automatically create an exception to this policy.
Participants are strongly encouraged to purchase travel insurance that includes appropriate trip-cancellation, interruption, medical, and emergency coverage.
Vias Baseball may review extraordinary situations individually, but consideration of a request does not guarantee a refund or credit.
TRAVEL INSURANCE
Travel insurance is strongly recommended and is not included unless expressly stated in writing.
Participants should consider coverage for:
- Trip cancellation
- Trip interruption
- Medical treatment outside the United States
- Emergency evacuation
- Flight cancellations or delays
- Lost or delayed baggage
- Illness or injury
- Family emergencies
- Other covered events
Participants are responsible for understanding the limitations, exclusions, documentation requirements, and deadlines of any insurance policy they purchase.
Vias Baseball does not guarantee that an insurer will approve a claim.
ITINERARY CHANGES
Baseball opponents, game schedules, academy visits, facilities, hotels, transportation, meals, excursions, service activities, and other itinerary elements may change because of:
- Weather
- Field or facility availability
- Supplier changes
- Transportation delays
- Safety concerns
- Government action
- Local conditions
- Circumstances beyond our reasonable control
A reasonable itinerary change does not automatically qualify a participant for a refund when the overall camp or trip continues.
When practical, Vias Baseball may substitute a reasonably comparable activity or service.
Specific MLB organizations, professional academies, players, coaches, scouts, opponents, or facilities are not guaranteed unless expressly confirmed in writing.
MINIMUM PARTICIPATION
A camp, departure, or team experience may require a minimum number of participants.
If Vias Baseball cancels a departure solely because the required minimum is not reached, registered participants may choose:
- A refund of payments made directly to Vias Baseball for that departure
- A transfer to another available departure
- A credit toward a future Vias Baseball experience
Vias Baseball is not responsible for separately purchased airfare, insurance, lodging, or other expenses. Participants should avoid purchasing nonrefundable airfare until the departure has been confirmed.
CANCELLATION BY VIAS BASEBALL
If Vias Baseball cancels an entire trip for reasons within its reasonable control, participants will be offered:
- A refund of payments made directly to Vias Baseball for the canceled trip
- A transfer to another available trip
- A credit toward a future Vias Baseball experience
The participant may select from the options made available for that cancellation.
Vias Baseball is not responsible for airfare, insurance premiums, passport expenses, or other costs paid to third parties.
EVENTS BEYOND OUR CONTROL
Vias Baseball may need to cancel, postpone, relocate, or substantially modify a trip because of circumstances beyond its reasonable control, including:
- Severe weather or natural disasters
- Epidemics, pandemics, or public-health emergencies
- War, terrorism, or civil unrest
- Government actions or travel restrictions
- Border closures
- Facility closures
- Transportation disruptions
- Strikes
- Supplier failure
- Serious security or safety concerns
- Other events that make travel impractical or unsafe
When such an event occurs, Vias Baseball may offer a rescheduled departure, transfer, future-trip credit, or refund.
Any cash refund may be limited to amounts Vias Baseball can recover after paying or committing funds to hotels, transportation providers, facilities, activity providers, and other suppliers.
Vias Baseball will communicate the available options and applicable deadlines to affected participants.
CREDITS
When a future-trip credit is issued:
- The credit has no cash value
- The credit may be applied only to an eligible Vias Baseball experience
- The credit must be used by the expiration date stated when issued
- The credit may not be sold
- Transfer to another person requires written approval
- Any price difference for the new trip remains the participant’s responsibility
Credits issued as exceptions do not modify this policy for other participants.
REFUND PROCESSING
Approved refunds will generally be returned to the original payment method when possible.
Processing times may vary depending on the payment provider and financial institution.
Payment-processing fees that are not returned to Vias Baseball by the payment provider may be deducted from the refund where permitted by law and disclosed during the transaction or refund process.
PAYMENT DISPUTES
If you believe a payment was duplicated, processed incorrectly, or made without authorization, contact us promptly so we can investigate.
Nothing in this section limits rights available through a payment provider or applicable law.
Knowingly filing a false payment dispute or chargeback may result in cancellation of participation and collection of amounts lawfully owed.
DONATIONS AND MERCHANDISE
This policy applies to Vias Baseball registrations and travel services.
Donations to The Straley Project and merchandise purchased through The Straley Project are governed by the policies posted on https://thestraleyproject.org.
A Vias Baseball registration payment will not be treated or receipted as a charitable contribution.
POLICY CHANGES
We may update this policy periodically.
The version accepted during registration generally governs that registration unless a later change is required by law or agreed to in writing.
The effective date at the top identifies the current version.
